How to add your completed signature to Gmail

Follow these steps on a desktop or laptop computer. Gmail's mobile app does not reliably preserve a full formatted signature with images and clickable links.

Finish and copy your signature

Enter your name, job title, extension, LCA email address, preferred email closing, and profile picture. Confirm the preview is correct, including your closing above the signature. After the page confirms that your profile picture is ready, select Copy Signature for Gmail and wait for the copied confirmation message.

Open Gmail settings

Open Gmail in your web browser. Select the gear icon in the upper-right corner, then select See all settings.

Find the Signature section

Stay on the General tab. Scroll down until you reach Signature, then select Create new.

Enter a simple name such as LCA Signature, then select Create. This name is only visible to you.

Paste into a clean signature box

Use the new, empty signature box created in Step 4. Press Ctrl + V on Windows or Command + V on a Mac. Do not paste over an older signature, use Gmail's image button, or paste as plain text.

Save your changes

Scroll to the very bottom of the Settings page and select Save Changes. Gmail returns you to your inbox.

Send yourself a test email

Select Compose and confirm the signature appears automatically. Send a test message to yourself, then check that the email address, website, phone number, logo, and address links all work.

Important: Your selected email closing is already included above the signature with two blank lines. Do not type a second closing in Gmail. Paste the signature directly into Gmail using the normal paste command. If Gmail asks whether you want to keep the source formatting, choose the option that keeps the formatting. Do not resize the logo or profile picture inside Gmail.

Troubleshooting: what to do if the signature does not look right

Only plain text appears: Return to this page, select Copy Signature for Gmail again, and paste with the normal Ctrl + V or Command + V command. Do not use “paste as plain text.”
The profile picture or logo is missing: Wait until the page says Your profile picture is ready, then select Copy Signature for Gmail again and paste into a new, empty Gmail signature box.
The signature does not appear automatically: Return to Gmail Settings and confirm that LCA Signature is selected under both signature default menus.
Faint lines or old spacing appear: Delete the entire old signature or create a new blank Gmail signature, then paste a fresh copy. Do not paste the new version over existing signature content.
The signature is too large or too small: Remove it from Gmail and paste it again. Do not use Gmail's image-size controls.
The signature appears below quoted text in replies: In Gmail's Signature section, check the option to insert the signature before quoted text in replies.
You are using a phone or tablet: Complete the setup from Gmail in a desktop browser. The Gmail mobile app uses a separate plain-text mobile signature and may not preserve this design.
